This section allows you to manage Feedback Loop (FBL) complaints of a selected mailing list. In order to being able to manage complaints with NewsTurbo, you have to enable the option "Include Feedback Loop (FBL) Header" that can be found in the "Send" section. Please also read "General information about Feedback Loops (FBL)" which can be found at the end of this section.


Select Distribution List

Select the mailing list for which you want to manage complaints. A right mouse-click on the selection list offers you the option "Clear Message Cache". You can select any mailing list that you have created in the section "Manage Lists". If there is no list available for selection, you have to create a mailing list at first.


Clear Message Cache

To avoid that one email is processed more than once, the application saves the unique message ID of every processed message in the application database. This helps the application to save time and resources when managing complaints because any email that were already downloaded and processed before will be skipped on the next download process. This option clears these message IDs from the database so that every message in the inbox will be processed as they had never been downloaded before.


POP3 Account

Specifies the POP3 account that should be used for downloading new complaints. Please enter the email address of the associated POP3 account and specify the POP3 server address as well as the Port number. Any mail server that supports POP3 protocol can be used here. Please note that you must use exactly the same email address that you have used while signing up for the Feedback Loop (FBL) because all complaints will only be sent to this email address.


If the POP3 server requires an encrypted connection, you have to activate the "SSL" box that can be found next to the port number. You also have to specify the user name as well as the password for this account. Please also specify the timeout value which is the amount of seconds the application will wait for data to be received from the server before returning an error, or zero to wait indefinitely


To ensure that everything is working fine, you should test the connection by clicking the button "Test Connection". After clicking the Test Connection button, your entered POP3 data will also be saved in the POP3 Profile Manager for future use, if it does not already exist.


The Profiles-Button allows you a quick and easy access to all available POP3 profiles and also allows you to easily create new POP3 profiles. All available POP3 profiles can be selected for managing the bounce backs. Please click here to learn more about the POP3 Profile Manager.


Options

Allows you to specify some options for managing complaints.


Delete messages on the server after download

Allows you to delete the actual complaint email from the server after it was processed through the application. By enabling this option, all complaint emails will be deleted from the server after the application has downloaded and processed it. This helps you to keep the inbox clean. Please note that this option only deletes complaint emails and not any other email that might be present in the inbox so there is no need to worry about that you delete any other important email by accident.


Delete complained addresses from the list

Allows you to delete the complained email address from the mailing list. Normally the application just deactivates the email address on the mailing list so that the subscriber is no longer an active subscriber.


Add complained addresses to the blacklist

Allows you to add complained email addresses to the blacklist which ensures that a complained email address won't receive any future newsletters by accident.


Latest Complaints

Displays the latest complained email addresses. To view/edit the associated subscriber of this email address, simply double-click on the desired email address. You can clear the contents of this widget by simply clicking with your right mouse-button into the widget and selecting "Clear". Please note that this only clears the content of the widget. No subscriber data will be deleted from the actual list. By clicking on "View the log of this operation", you will see the server log of the download process while the bounce backs were managed.


Run Now

Click this button to start the download process in order to manage complaints for the selected mailing list with the settings you have specified. After clicking this button, a new window appears showing you the current status of the download progress. Depending on the count of emails that are present in the inbox while managing complaints and on the speed of your internet connection as well as the mail server that is being used, this process may take some time. You can at any time pause/resume the operation or cancel it by clicking the appropriate button. After the operation has completed, a final report is displayed where you can see all new complained email addresses and you can close the window or view the server log of the process.


Schedule

Click this button to schedule the download process to automatically manage complaints for the selected list with the settings you have specified.


Schedule with NewsTurbo Standard

After clicking on "Schedule", a new window appears to configure the Windows User Account under that you want to run the schedule and to configure the scheduled interval and the scheduled time.


The user name of your current Windows User Account is automatically displayed and you just have to enter your password of your Windows User Account in the password field in order to be able to enable the schedule.


Please note that entering your password is mandatory. A scheduled task cannot run and will fail if you enter a wrong password. If you don't have set a password in your Windows User Account, please set one before enabling a schedule.


You can create scheduled backups on a regular basis (daily, weekly or monthly) and at a specific time. Just select the desired interval from the dropdown list and specify the schedule in the schedule area.


Daily

The scheduled task will be executed once a day at the selected time.


Weekly

In the schedule area, select the appropriate parameter as follows:


Recur every: <...> week(s) on: <...> at: <...>


Specify a certain number of weeks and the days of the week you want the task to be run. For example, with the every 2 week(s) on Monday at 9:45 setting, the task will be performed on every second Monday at 9:45.


Monthly

In the schedule area, select the appropriate parameter as follows:


Recur every: <...> day of the month: <...> at: <...>


Specify the day of the month and the month(s) you want the task to be run. For example, with the every 10 day of the month January at 9:45 setting, the task will be performed on January 10 at 9:45.


If you are happy with the settings you made just click "OK" to confirm your selection.


Schedule with zebNet NewsTurbo Pro or zebNet NewsTurbo Server

After clicking on the Schedule button, a new window opens where you can freely define your schedule for the task. The window "Specify the trigger" is being splitted into several areas:


Run this task

You can specify when to run the scheduled task on the left area called "Run this task". You can freely define the schedule after clicking on the desired option. The following options are available:


Once only

Specifies that the task should performed only once at the selected point in time. The point of time can be selected at "Start" and defines when the task should be performed.


Upon event

Specifies that the task should performed at a specific event. You can chose between "System startup" or "User logon".


When choosing "System startup", the task will be performed every time you turn on your computer and after Microsoft Windows has fully loaded. Please note that this option is only available if you use a password for scheduling a task and cannot be selected when enabling the option "Schedule without password".


When choosing "User logon", the task will be performed every time when you logon into your Microsoft Windows account. A logon deemed effective after you have entered your password for your Microsoft Windows account. If you do not use a password and/or if you have select the option "Schedule without password", a logon deemed effective when you can see your Windows Desktop. This is also applicable if you have set a password for your Microsoft Windows account but if you use the automatic logon feature.


The point of time can be selected at "Start" and defines when the task should be performed the very first time. You don't need to change the given point of time if the schedule should take into effect immediately. If the schedule should take into effect at a later time, you can manually select the point of time.


Periodically

Specifies that the task should performed periodically at certain intervals, e.g. every 10 minutes or every 3 hours. For example, if you select 3 hours, the backup will be performed every 3 hours.


Daily

Specifies that the task should performed daily. You can specify if the task should actually being performed every day or, for example every 2 days. In addition and if necessary, you can also specify a periodic schedule that repeatedly performs the task at the given interval.

You don't need to change the given point of time if the schedule should take into effect immediately. If the schedule should take into effect at a later time, you can manually select the point of time.


Weekly

Specifies that the task should performed weekly. In the schedule area, select the appropriate parameter as follows:


Run the task every: <...> week(s) on: <...>


Specify a certain number of weeks and the days of the week you want the task to be run. For example, with the every 2 week(s) on Monday at 9:45 setting, the task will be performed on every second Monday at 9:45.

Monthly

Specifies that the task should performed monthly. In the schedule area, select the appropriate parameter as follows:


Run the task on every: <...> day(s) of the month: <...>


Specify the day of the month and the month(s) you want the task to be run. For example, with the every 10 day of the month January at 9:45 setting, the task will be performed on January 10 at 9:45.


The point of time can be selected at "Start" and defines when the task should be performed the very first time. You don't need to change the given point of time if the schedule should take into effect immediately. If the schedule should take into effect at a later time, you can manually select the point of time.


Run with credentials

Specifies the Windows User Account to be used for executing scheduled backups. The user name of your current Windows User Account will automatically be displayed and you just have to enter your password of your Windows User Account in the password field.


Tasks can also be scheduled without a password which is perfect for those users that haven't set a password for their Windows User Account. To schedule a task without a password, just enable the option "Schedule without password".


This option can also be used if you have set a password for your user account but in this case, you have to be logged in into your user account otherwise, schedule won't work.


Run the task only when the computer is idle

Specifies that the task is only performed if the computer is not used at the given point in time.


If missed, run the task at startup

Specifies that the task is performed at the next system startup if the task couldn't be performed at the scheduled point of time. This might happen if your computer was for example turned off at the given point in time.


Click "OK" to confirm your selections and to enable the schedule.


From now on, complaints will automatically be managed for the selected mailing list with the settings you have specified. Depending on the count of emails that are present in the inbox while managing complaints and on the speed of your internet connection as well as the mail server that is being used, this process may take some time. If you are logged in on your Windows Account when managing complaints on a schedule, you will be notified via a notification balloon otherwise, complaints will be managed in the background.


Managing complaints on a schedule is an automatic process that will be executed no matter if zebNet NewsTurbo is started or not. After creating a schedule, you are only required to ensure that your computer is running in order to manage complaints.


General information about Feedback Loops (FBL):

NewsTurbo easily allows you to automatically manage complaints you receive through Feedback Loops (FBL) with no hassles at all so you can maintain your email sender reputation.


Most email account providers give you the possibility to sign up for their Feedback Loop (FBL) completely for free and you definitively should make use of it. A Feedback Loop is a kind of a feedback system where your subscribers can indirectly get in contact with you to report unsolicited emails.


If one of your subscribers marks your newsletter as spam or junk mail, you will get a notification of it through the Feedback Loop in order to being able to exclude this specific subscriber from all future emails.


Even if this specific subscriber has signed up for your newsletter by itself and even if there is a possibility to easily cancel the subscription within your newsletter, you should take every complaint very serious and you should remove or unsubscribe this subscriber from all of your mailing lists. Failing to do so will harm your email sender reputation.


Email account providers expect from you as email sender that no further messages will be sent to a complained email address. It will harm your email sender reputation with this email account provider badly in the long term, if you send another message to an already complained email address. In the worst case, this email account provider will add you to their blacklist so you won't be able to send any email to any other customer of this email account provider.


Once you have been added to the blacklist of an email account provider, it might be a long or impossible process to get removed from the blacklist. Therefore, it is highly recommended to sign up for the Feedback Loops and to manage all complaints effectively with NewsTurbo.
