In the administrative settings, you specify the extended application settings. The administrative settings are available to you in single-user mode at any time, but in multi-user mode only if you are logged on as an administrator.
Log on Settings
In multi-user mode, the login settings are displayed that allow you to determine the logon behaviour of all MailShelf users. This section is only available if MailShelf is operated in the multi-user environment and you are currently logged on as an administrator.
Enumerate user names
If this option has been enabled, each MailShelf user will be shown a selection list in the log-in window in which all currently created MailShelf users are enumerated. The corresponding user can then quickly and easily select his or her user name from the drop down list and only have to enter his or her password for logging on.
If this option has not been enabled, an text box appears in the log-in window, in which the corresponding user must enter his or her user name manually. An enumeration of all existing MailShelf users is not carried out in this case, so that in this case no conclusions can be drawn to other MailShelf users.
Allow password remembering
By enabling this option, you allow all MailShelf users to store their logon password so that it does not have to be entered manually when logging in by the user. Although this is a user-friendly feature, there could be a security risk, as when enabled, users with the appropriate user account who do not know the user password can log in with the corresponding user account. It is recommended that you evaluate your risk prior to using this option.
Allow automatic log on
Enabling this option allows all MailShelf users to log in automatically, so users do not have to enter user names or passwords when logging on. Although this is a user-friendly feature, there could be a security risk, as when enabled, users with the appropriate user account who do not know the user account data can log in with this user account. It is recommended that you evaluate your risk prior to using this option.
Record the logs of the executed tasks for later use.
Log operations
By enabling this option, all archiving and exporting tasks are logged in detail by means of server logs as well as operation logs so that a correspondingly detailed log is created in the history section. If this option is disabled, only a default log is created which contains neither server logs nor operation logs.
A default log consists of the result of the task, the number of newly archived messages, the start and end time of the task, as well as the computer name from which the task was executed, as well as the corresponding user name that executed the task.
A server log as well as an operation log also contains more detailed information about the corresponding task, which could be useful for a later use. When e.g. an email server mailbox, e.g. IMAP, POP3, or Microsoft Exchange, or if existing mails from MailShelf are exported to such a mailbox, all email server responses are stored in the server log. In the operation log, on the other hand, all internal MailShelf responses are stored, which refer to the corresponding task.
Although this option will result in a higher disk space requirement, it is recommended to enable this option, as you are given the cause of an error in the event of an error.
Please note that a server log is only written in the event of an error. If the operation runs without errors, no server log is written for reasons of storage space as well as for performance reasons.
Retention Policy
The retention policies determine how long emails must be kept which means how long they must be in the archive before they can be deleted. This allows you to comply with legal requirements and also prevent the inadvertent deletion of archived emails. For example, if you use a retention period of 5 years, emails must be present at least 5 years and one day in the archive before you can delete them.
Determine the retention period with the scroll bar
The scroll bar allows you to determine the duration of storage in years, with a retention period of up to 30 years. Dragging the scroll list to the left will decrease the value, and you can increase the value by dragging to the right. If the value has been set to the minimum available value, the emails can be deleted from the archive at any time. The retention period can be changed at any time but only if it has not been permanently locked.
Locking the retention period
In order to comply with existing legal requirements, you can permanently lock the retention period. To do so, simply select a retention period of at least one year from the scroll bar and then right-click on the scroll bar, which then offers you the option "Lock Retention Policy". By clicking on this option, you can permanently lock the retention time.
Please note that locking the retention period is indeed permanent and final. Once you have locked the retention period, you will no longer be able to change it later.
Error Handling
You can specify how the application should handle errors that might occur during the archiving or exporting process.
Re-attempt, if an error occurs
When this option is enabled, the application will try the current operation again before an error message is displayed. The number of attempts as well as the interval between the attempts can individually be set.
